Job Title: Junior Finance and Administrative Specialist
Hiring Manager: Head of Finance
Location: Onsite (Makati, Manila)
What do you get to do?
Finance
- Execute Accounts Receivable (AR) processes, including:
- Client onboarding documentation and setup
- Invoicing and collections follow-up
- Maintaining accurate AR records and documentation
- Process employee expense claims and ensure compliance with company policies
- Support General Ledger and Accounts Payable processes, including:
- Vendor onboarding and maintenance
- Invoice documentation and payment preparations
- Provide general support to other Finance functions (Accounting, Treasury, Tax Compliance, and Reporting) as needed to ensure smooth operations.
Administration
- Oversee day-to-day office administration (supplies, facility needs, office coordination)
- Manage procurement and logistics for office and team requirements
- Maintain and update asset inventory
- Support general HR admin activities, including employee onboarding & offboarding coordination, events support, work visa applications, HMO related tasks, and other ad hoc admin duties.
- Support general legal administrative activities, including:
- Maintaining and organizing physical legal files;
- Scanning, filing, and routing for signature legal documents;
- Coordinate with notaries and other external legal service providers for documentation purposes;
- Filing of documents to regulatory agencies
- Sending letters or legal documents to stakeholders via couriers or personal delivery
- Handle travel bookings and related logistics for employees and visitors, on a needs basis
What do we look for in you?
- Diploma / Bachelors degree (preferably) in Finance & Accounting with 1-3 years relevant experience
- Obsessed with crunching numbers and operational data
- Par Excellence attention to detail
- Experience with administrative operations
- Ability to coordinate and communicate with diverse team members from multiple locations
- A complete hands-on person with a deep desire to learn
- A self starter
- Experience with a SAAS company would be an added advantage
