About the role:
The Workplace Experience intern has the opportunity to join a fast-paced company and help the Culture team on their day to day tasks. This internship offers exposure to event planning, office management, and culture-building activities while developing organizational and creative skills.
As an Workplace Experience intern, you will be at the heart of day to day life of the Owkin Paris office, helping on the execution of all office projects (Paris, Nantes, London, Boston, NYC and employees working remotely), internal events, recurrent events, thematic events. You will be reporting to the Director of Culture and Workplace Experience and work directly with her.
In particular, you will:
Event Coordination Support:
- Assist in the planning and execution of recurrent and team-specific events. (weekly breakfast in different localisation, birthday breakfast, workshop support , lunch and afterwork set-up etc)
- Help with logistics such as catering arrangements, and managing event schedules.
- Provide hands-on onsite support during events, ensuring set-up and smooth operations.
- Ensure that all materials and equipment are available and properly arranged during events.
Office and Administrative Support:
- Ensuring the smooth day-to-day running of the office (make sure office is tidy and organized)
- Ordering and organizing recurring orders such as office supplies, F&B orders
- Resolve office-related malfunctions and respond to requests or issues
- Help maintain event calendars and schedules for the Culture and Events team.
- Organize and manage documentation ensure all our policies and process are up to date
- Assist in preparing reports and presentations related to culture initiatives and events using our Data Dashboard
- On/offboarding support of employee (set welcome kit bags, shipment support)
Team Collaboration:
- Work closely with the office manager and Events Manager to ensure seamless communication and coordination.
- Liaise with different departments (HR, Finances, Marketing etc) to gather information or feedback needed for office and event planning or culture initiatives.
Vendor & Partner Coordination:
- Assist in communicating with external vendors, such as caterers, event venues, and office suppliers.
- Track and follow up on vendor quotes, payments, and deliveries.
- Perform receptionist duties when needed
- Collaborate with the receptionist, send guest list and specific request
Creative Culture Initiatives Assistance:
- Support in implementing internal creative culture-building programs across different offices.
- Assist in the promotion and communication of cultural initiatives to employees.
- Assist in brainstorming ideas for themed events, team activities, and new culture initiatives.
- Support in creating visuals, presentations, or other creative materials for events and culture programs.
Data Tracking:
- Help to maintain an updated and accurate data dashboard.
- Assist in analyzing Cultural data
Internal Communication:
- Draft and distribute internal communications such as event announcements, office announcements, reminders, and follow-ups.
Position is based in our Paris office.
